Track what happens to leads, not how many messages went out. The real question is whether more of the people who contact you end up booking a tour and becoming members.
Five numbers worth watching
- Response time: how long a new lead waits for the first reply
- Reply rate: how many leads respond to your messages
- Tours or trials booked: the step that most often predicts a sign-up
- Lead-to-member rate: the share of leads who join
- Where leads came from: so you know which ads and channels are worth keeping
Compare before and after
Write down your numbers before you turn automation on, even roughly. A few weeks later, compare. If you booked noticeably more tours from the same lead volume, the system is doing its job. If nothing changed, look at the messages, the timing or the lead quality before blaming the tool.
Put a value on a member
Work out what a typical member is worth to you over a few months. Then even a small increase in conversions has an obvious dollar figure, which makes it easier to judge the cost. We go deeper on this in how to calculate automation ROI and what custom automation costs.
